Add, Modify, & Delete Resources on a Work Order

Resources on a work order are employees, equipment, or contractors. These are added to a work order to track time and cost.

 

Add a Resource to a Work Order

  1. Click + Add on the Resource zone. 
  2. Select Employee, Equipment, or Contractor at the top.
  3. Select Resource Name. Filter by Department or Role/Type, if desired. 
  4. Select Pay Type (Regular by default). 
  5. Enter Estimated Units before work is performed. 
  6. Enter Actual Units after work is performed. 
  7. Adjust Unit Cost (if desired).
  8. Enter Comments
  9. Click Save

Note - the Total Cost field will update automatically if the Unit Cost is configured for the employee. Initially, total Cost will be based off of estimated units. Once actual units are added, the total cost will be based off of the actual units. 

 

Add Multiple Resources to a Work Order

If you need to add multiple resources to a work order, save time by using the Add Multiple option.

  1. Click the dropdown arrow to the right of the + Add button on the Resource zone.
  2. Select Add Multiple
  3. Select from Employees, Equipment, or Contractor on the left.
  4. Search or filter to find desired resources. 
  5. Check boxes of resources to add to the selection and click Attach to add resources to your selection. 
  6. Click back if need to add more resources. Note - view selected resources at any time by clicking Selection in the upper right corner. 
  7. Once all resources are added to your selection, update desired fields (estimated units, actual units, etc.) per resource.
  8. Click Attach.

 

Add Resources from Crew 

If a crew is assigned to the work order, save time by using the Resource From Crew option. This will add all employees and equipment that are part of the crew to the work order in one step.   1. Click the dropdown arrow to the right of the + Add button on the Resource zone.
  2. Select Resource From Crew.

Note - the Resource From Crew option will only appear if the Crew is assigned to the work order.

 

Edit or Delete a Resource from a Work Order

  1. Click the dropdown arrow on the resource entry. 
  2. Select Edit to update resource info (such as hours) or Delete to remove the resource from the work order.

Note - an additional option "Notify Contractor" will appear on the dropdown list for contractors. If an email is listed for the contractor, this will send an email to the contractor alerting them of this work order.
